Project Coordinator


Job Description:

Our client, located in Cary, NC, is seeking a skilled Project Coordinator to add to their team! This individual will work closely with the Project Manager to prepare comprehensive action plans, including resources, timeframes and budgets for projects. You will also perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling bids. This is a full time, contract to hire opportunity.


Responsibilities:


  • Set up and maintain client/job files

  • Set up and send invitation to Bid via Smartbid

  • Process pay applications for Owner

  • Assist with data entry as needed

  • Maintain Marketing Database

  • Set up Schedule of Values as requested for each Job

  • Deliver Bids

  • Prepare sales tax report, if required

  • Issue contracts/purchase orders (PO) as requested by the project manager

  • Subcontracts are issued for material and labor subs

  • Review specs for information about Contract

  • Issue request for Payment and Performance Bonds

  • Issue request for Certificates of Insurance

  • Review Specs in order to prepare bid forms

  • Review Notice to Bidders, Instructions to Bidders, General Conditions, Supplementary General Conditions

  • Prepare Closeout of Projects as required by Owner and/or Contract

  • Set up and enter all data provided by project manager into Procore.

  • Track down submittals from subcontractors and prepare to PM to review.


Education Requirements:


  • Bachelor's degree or equivalent required


Desired Background/Skills:



    Qualifications:


    • Proven work experience as a Project Coordinator or similar role

    • Experience in project management

    • Experience with Procore is desired

    • An ability to prepare and interpret schedules and step-by-step action plans

    • Solid organizational skills, including multitasking and time-management

    • Strong client-facing and teamwork skills

    • Familiarity with risk management and quality assurance control

    • Strong working knowledge of Microsoft Project and Microsoft Planner
