Program Coordinator


Job Description:

The Program Coordinator is a critical role responsible for providing organizational and administrative support to the program and its executive, ensuring seamless coordination across 10 NASA centers, as well as with other government stakeholders. This position requires exceptional organizational skills, attention to detail, and the ability to anticipate and proactively plan for upcoming tasks and actions. The ideal candidate will actively seek to develop a thorough understanding of the Technology Transfer programs objectives, stakeholders, and organizational dynamics, enabling the candidate to effectively support the program executive and the programs overall success and contribute to its strategic goals.


Responsibilities:


  • Support the Technology Transfer Program Executive at NASA Headquarters, managing administrative tasks of the program.

  • Serve as a partner to the program executive, anticipating their needs and ensuring tasks are completed accurately and promptly and on time.

  • Prepare executive-level presentations, reports, and other materials for the executive, ensuring high quality and adherence to deadlines.

  • Develop high quality PowerPoint presentations and reports, adhere to proper NASA usage guidelines and collaborate with program support graphic designer.

  • Act as a central point of contact for approximately 10 different centers, facilitating communication and coordinating input from various stakeholders. Work in collaboration with Technology Transfer program team members.

  • Collect and organize weekly notes by proactively reaching out to dozens of individuals, ensuring timely and comprehensive updates.

  • Consolidate and manage content for the Technology Transfer programs Microsoft Teams site and associated files, maintaining organization and accessibility.

  • Plan and coordinate high-impact events and group meetings, both virtual and off-site, ensuring seamless execution.

  • For in-person events, support travel planning, venue selection, and logistical details, ensuring a professional and efficient experience.

  • Facilitate productive meetings by developing meeting agendas, capturing action items, following up on deliverables, and ensuring effective communication among participants.

  • Maintain accurate and detailed records of meetings, decisions, and action items.

  • Follow up on pending tasks and action items, ensuring timely completion and accountability.

  • Provide regular updates and reports to the program executive and relevant stakeholders.

  • Gather input to support the review and edit of NPRs for compliance and route for approval.

  • Develop and maintain a deep understanding of the programs objectives, stakeholders, and organizational dynamics.


Education Requirements:


  • Bachelors degree or equivalent experience in a relevant field.


Desired Background/Skills:


  • Minimum of 3-5 years of experience as a program or project coordinator, preferably in a fast-paced, dynamic environment.

  • Excellent organizational skills and attention to detail.

  • Strong written and verbal communication abilities.

  • Proficiency in Microsoft Office Suite (e.g., Word, Excel, PowerPoint), Microsoft Teams (including video meetings), and other relevant software. Strong PowerPoint skills preferred.

  • Demonstrated ability to receive coaching, retain knowledge and apply it forward -- working independently with minimal guidance.

  • Ability to work with well with stakeholders in a team environment.

  • Ability to multitask, prioritize, and work under pressure while adhering to deadlines.

  • Exceptional interpersonal skills and a collaborative mindset.

  • Demonstrate a comprehensive understanding of the programs objectives, strategic priorities, and key performance indicators.

  • Proactively seek to understand the needs, concerns, and priorities of various stakeholders, including executives, centers, and cross-functional teams.

  • Maintain a strong grasp of the organizational structure, reporting lines, and decision-making processes within the program.

  • Take initiative to stay informed about Technology Transfer practices and emerging trends and needs relevant to the programs scope.

  • Exhibit a genuine interest in the programs success and a willingness to go above and beyond to support its goals.
