Office Administrator

Job Description:

Our client, located in Waltham, MA is seeking an experienced Office Administrator to add to their team! This individual will manage all activities of the receptionist service, in order to welcome/route visitors and callers in an appropriate way, as well as other administrative duties. This is a full time, contract to hire opportunity!


  • Handles correspondence/mail/express couriers, managing fax and mail receiving, incoming document tracking, sorting and delivering, to ensure timely internal and external delivery

  • Performs general administrative support for different Departments like filing, archiving, scanning, copying, signature handling

  • Manages meeting facilities for internal and external meetings including the supply of appropriate catering as required

  • Manages local office space, office equipment, supplies and utilities to ensure optimal working conditions for office staff and visitors. Also includes provision of equipment for home based personnel

  • Arranges for supply/allocation of equipment, supplies and materials for common use, as required. Includes obtaining and negotiating best prices, obtaining quotations, preparation of purchase requests, communications to suppliers and processing invoices

  • Assists the Finance team with accounts receivable and accounts payable

  • Collaborates with the Finance team in preparation of yearly tax filings

  • Maintains paper filing systems for financial, legal, and other administrative documents

Education Requirements:

  • Bachelor's Degree preferred or equivalent education and experience

Desired Background/Skills:


    • Proficiency in Microsoft Office (i.e.Word, Excel, Outlook)

    • Some accounts receivable and accounts payable experience preferred

    • Strong attention to detail and organizational skills required
