IT Administrative Assistant


Job Description:

Our client, located in Durham, NC, is seeking a high performing, self-motivated IT Administrative Assistant to support our Information Technology Team. In this role, you will deliver a high level of service and support across the IT Leadership Team while exercising judgment, diplomacy and discretion in handling sensitive and confidential information. You will professionally engage globally with all levels of employees, vendors and important stakeholders. This is a full time, direct hire opportunity!


Responsibilities:


  • Managing schedule and time prioritization, often balancing competing priorities

  • Interface with all levels of staff, management, customers, consultants and other service partners

  • Coordinating all aspects of onsite and offsite meetings, including communications, logistics, catering, hospitability and supporting technology

  • Efficiently execute all administrative tasks including, but not limited to; document preparation, employee correspondence, expense reporting, documentation compliance, record maintenance, filing and copying

  • Identify and implement ongoing operational process improvements

  • Domestic and international travel coordination

  • Assist in the preparation of IT marketing presentations and content packaging

  • Coordinate research, design and project delivery to improve the IT Intranet site

  • Communicate actively with key stakeholders to understand their needs and involve them in planning and problem solving (including all IT departments, HR, Finance and Legal, as well as other executives and administrative staff as necessary)

  • Provide technical writing expertise to simplify concepts for our stakeholder communication efforts


Education Requirements:


  • Bachelor's degree or equivalent.

    Qualifications:


    • Extensive experience supporting senior level technical teams (IT preferred)

    • Poise, professionalism, exceptional interpersonal skills and a strong business acumen

    • Extensive experience creating, editing and maintaining sensitive documents and presentations

    • Outstanding written and verbal communication skills

    • Highly experienced with Office applications, including Excel, Word, Outlook and PowerPoint

    • Ability to work well under pressure, handle multiple interruptions and adjusting priorities

    • Strong leadership skills to coordinate and facilitate activities with colleagues

    • Able to handle sensitive and confidential situations with diplomacy

    • Ability to prioritize, plan, organize and manage details in a fast-paced environment

    • Grasp complex tasks and carry out directions independently

    • Project management and leadership skills to coordinate activities with colleagues
