Healthcare Office Manager

Job Description:

Our client, a community health agency in the Wilmington area, is seeking an Office Manager to join their team. The Office Manager will greet and assist visitors and callers while supporting the agency with various clerical responsibilities such as maintaining company databases and running reports. They will also make decisions and coordinate all daily operations of the administrative office. The Office Manager will work Monday through Friday, 8am-5pm. The compensation for the Office Manager is $14-18/hour, depending on experience.


  • Answer, screen, and transfer incoming telephone calls

  • Organize, coordinate, and monitor daily operations of the administrative office

  • Resolve administrative problems and inquiries; identify inefficiencies that need to be addressed with team or committees

  • Develop agency-wide quality assurance and quality improvement processes including client satisfaction surveys

  • Supervise and coordinate the quality management committee and subcommittees to establish and review agency data and performance indicators

  • Develop and monitor actions to address individual and aggregate trends, including incidents, adverse events complaints, grievances and quality of care measures

  • Input and manage data and records and and respond to notifications with systems as they become necessary

  • Receive and direct visitors and members

  • General clerical duties including copying, scanning, fax and mailing and running office equipment

  • Prepare and modify documents including correspondence, reports, drafts, memos and emails

  • Schedule and coordinate meetings, appointments and travel arrangements for Agency Director and/or CEO

  • Maintain agency supply inventories

  • Coordinate maintenance of office and safety equipment

  • Ensure security and confidentiality of agency data along with consumer and employee information

Education Requirements:

  • Bachelor's or associate degree in business administration required

Desired Background/Skills:

  • Three years of office management experience

  • Previous experience in healthcare environment


  • Ability to create and update reports utilizing spreadsheets and other computer applications

  • Computer skills and knowledge of relevant software

  • Knowledge of operation of standard office equipment

  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping

  • Knowledge of basic office management
