Front Office Coordinator


Job Description:

Our client is a full service commercial real estate firm in Raleigh, NC who is seeking a professional Front Office Coordinator to add to their team! This individual will be responsible for greeting guests, directing calls, and performing other duties as assigned. This is a full time, direct hire position with benefits.


Responsibilities:


  • Answer and route incoming calls; direct to voice mail, take messages or connect to cell phone if necessary

  • Greet visitors promptly and courteously

  • Reserve conference rooms as requested

  • Handle any maintenance or service issues as requested

  • Order office supplies, overnight shipping supplies, coffee/soft drinks, etc. and monitor supply levels weekly for copier products

  • Review invoices for office maintenance (shipping costs, office supplies, services calls) then route to Accounting office

  • Maintain vacation schedule for support staff

  • Organize monthly birthday celebrations for office

  • Assist with incoming and outgoing mail and deliveries

  • Update and maintain a notebook of contacts/notes required for various services/vendors

  • Communicate any updates or changes with Brokers and Support Staff weekly

  • Type letters, contracts, listing agreements or other documents as needed

  • Provide support through copying, scanning, and faxing

  • Prepare all mass mailings requested and approved by the Executive Vice President

  • Handle catering arrangements for any lunch meetings with clients, etc.

  • Perform other administrative duties as assigned


Education Requirements:


  • Minimum 4 year degree preferred


Desired Background/Skills:



    Qualifications:


    • 1-2 years customer service experience answering a multi-line phone in a fast paced environment preferred

    • Proficiency in the use of personal computers, including solid working knowledge of Microsoft Word, Excel, Outlook, etc.

    • Ability to balance speed and accuracy in work production

    • Strong written and oral communication skills in business environment

    • Well-developed organization skills; ability to prioritize duties and meet deadlines

    • Ability to work successfully as part of a team environment

    • Ability to work well under pressure

    • Excellent professional interpersonal skills and service-oriented
