Job Description:

Raleigh Chamber of Commerce is looking for an Executive Assistant to join their team! The Executive Assistant supports the day-to-day activities of the President, as well as the Executive Committee and Board of Directors. This is a full time, direct hire position based in Raleigh, NC.


  • Handles meeting notices, agendas, PowerPoint presentations, meeting minutes and logistics for the Executive Committee and Board of Directors meetings and special meetings called by the Chairman of the Board and President. Link online attendees, prepare name badges, put together packets for meeting, and set up meeting rooms or pack items for the meeting at another location.

  • Prepares correspondence to the Executive Committee and Board of Directors.

  • Reviews and distributes the weekly staff calendar to the chairs of the board.

  • Maintains executive correspondence files.

  • Prepares confidential materials as assigned by the President.

  • Opens, reviews and distributes President?s incoming correspondence.

  • Maintains President?s calendar, schedules appointments, sends meeting and event reminders, coordinates room set-up and catering for meetings at the Chamber office, and makes restaurant reservations.

  • Prepares President for meetings, including purpose of meeting, company background, meeting attendees and titles, and overall history of chamber involvement and investment.

  • Makes hotel and travel arrangements for President.

  • Pro-actively manages a key contact system for President that includes thank-you?s, congratulatory notes and sympathies when appropriate. Also includes periodic strategic correspondence. Set up calendars, set up contact lists for President from business cards, updating reports, preparing labels and packets for mailing.

  • Answers and screens incoming calls to the President.

  • Acts as liaison between employees and the President, eliminating unnecessary interruptions.

  • Checks out the office credit card and reports usage and documentation of expenses to the Accounting Assistant.

  • Keeps event ticket inventory, distributes tickets, and prepares a record of event ticket distribution for the President.

  • Performs additional duties assigned by the President.

Education Requirements:

  • Bachelors degree required

Desired Background/Skills:

  • Previous experience working with customer management software and project management software is a plus.


  • 2+ years experience as an executive assistant or similar

  • Excellent verbal and written communication skills

  • Sound organizational skills

  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.

  • Able to work in a fast-paced and time-sensitive environment.

  • Demonstrate excellence, commitment, respect for diversity, teamwork, flexibility, outstanding service attitude and work ethic
