Job Description:

Our client, located in Cary, NC, is seeking a professional Executive Assistant to add to their team. This position operates independently and executes a variety of both routine and complex administrative duties in support of day-to-day administrative support for the Team (e.g. CFO, VP of Finance, VP of HR, etc.). This position assists with confidential issues, including maintaining sensitive documents and information, uses discretion and tact when screening visitors, telephone calls, and information requests. You will have extensive contact with individuals inside and outside the organization that requires the exchange of routine factual information as well as some interpretation of information and must have poise in communicating internally with senior executives and externally with business partners, both on the telephone and in person.   • Complex calendar management, and heavy confidential calendar management for a busy Executive Team.

  • Perform tasks utilizing advanced skills in organization and planning including extensive travel planning both domestic and international, preparation for Board of Director and high-level presentations, planning of department, company and other events, preparation of expense reports and invoice vouchers accurately on a timely basis.

  • Support department during financial reporting and earnings activity (release and conference call).

  • Organize and prioritize large volumes of information using discretion when to involve others in the decision-making process.

  • Receive and screen telephone calls and/or visitors for the executives on the Executive Team in a highly confidential manner exercising good judgment, diplomacy and tact.

  • Handle confidential and time-sensitive information, data, correspondence and reporting.

  • Take a lead role in coordination of special projects as assigned, setting workflow priorities, coordinate activities and keep track of current status/progress, organize and expedite workflow, create reports, presentations, correspondence and memorandum.

  • Assist HR, Finance and other teams as needed for adhoc and other short-term project or coverage as part of transition or when needed for other temporary issues.

  • Coordinate with external counsel, legal teams and with internal teams to process contract reviews and internal governance documentation.

  • Other duties as required including assistance to the other executives on the Executive Team when needed.

Education Requirements:

  • Requires a Bachelor's Degree or Associates Degree in secretarial science, business office management, business or a related field and 4 - 6 years of Executive Assistant work experience or the equivalent experience.

Desired Background/Skills:

  • Experience in data entry and benefit processing a plus.

  • Background with writing and reviewing contracts and legal documentation is also a plus.


  • Outstanding communication, writing, and editing abilities with a keen eye for detail.

  • Superb organizational and computer skills, including Outlook Contacts management, Word, Excel (specifically those components that are database and spreadsheet driven), PowerPoint presentations, Lotus Notes and web tools.

  • Experience using the Internet for business information and communications is required.

  • Demonstrated experience with the implementation of new/streamlined processes, improvements to workflow, ability to process information including gathering, evaluating, organizing and verifying data and managing projects to successful completion.

  • Poised, professional demeanor, and positive attitude.

  • Resourceful, able to take the initiative in a changing workplace environment and to pro-actively form productive working relationships.

  • Experience being self-directed, energetic, highly organized, flexible, and the ability to work independently toward objectives with a sense of urgency.

  • High degree of commitment and a "can do" attitude to the team.
