Executive Assistant


Job Description:

Our client, a manufacturing company in the Raleigh-Durham area, is seeking an Executive Assistant to add to their team! This individual will support a top executive with a number of scheduling, coordinating, and communication tasks on a daily basis. This is a full time, direct hire opportunity that offers competitive benefits and PTO.


Responsibilities:


  • Manage a busy calendar and workload of top executive, this includes working closely across departments to prioritize meetings and activities.

  • Schedule onsite and offsite meetings, prepare meeting notices, reserve appropriate meeting rooms, and arrange for equipment and catering as necessary.

  • Coordinate travel arrangements.

  • Interface with all levels of staff, management, investors, analysts, consultants and vendors. Provide a high-level of responsiveness and service.

  • Coordinate and organize quarterly earnings conference calls/webcasts, including analyst follow-up calls.

  • Coordinate and organize annual shareholder meeting webcast.

  • Create and mail investor kits.

  • Coordinate the preparation of management and Board of Directors reports and presentations.

  • Support the preparation of the quarterly Audit Committee materials.

  • Efficiently execute all administrative tasks including, but not limited to, document preparation, employee correspondence, purchase order and invoice processing, expense reporting and documentation compliance, record maintenance, filing and copying.

  • Identify opportunities for process improvements and efficiencies.

  • Apply technical expertise using Microsoft Office applications to streamline workflow and output.

  • Provide support and project work to Finance and Accounting team.


Education Requirements:


  • Bachelor's degree or equivalent.


Desired Background/Skills:



    Qualifications:


    • Minimum of 5 years relevant experience with at least 4 years supporting senior level executives.

    • Proficient in all Microsoft Office applications including Excel, Word, Outlook, PowerPoint and Skype for Business.

    • Strong experience in crafting documents and presentations.

    • Outstanding written and verbal skills and the ability to interact and communicate effectively.

    • Excellent judgement, demonstrated ability to balance relationship building and maintaining confidences. Inspires respect and trust.

    • Exceptional interpersonal skills.

    • Work well under pressure, handle multiple interruptions and adjust priorities throughout the day.

    • Ability to prioritize, plan, organize and manage details in a fast-paced environment while exercising sound judgement and excellent resolution skills.

    • Grasp complex tasks and carry out directions independently.

    • Demonstrate high degree of integrity in working with very confidential and sensitive company and employee information.
