Events Coordinator


Job Description:

The Greater Raleigh Chamber of Commerce is seeking an Events Coordinator to add to their team. This position will assist the Senior Events Manager with the management of logistics for meetings and events.


Responsibilities:


  • Source locations and properties for meetings and events, ensuring that the event calendar is balanced for audience participation and resource allocation

  • Request, negotiate on behalf of and review property contracts and contract changes

  • Request, negotiate on behalf of and review other vendor contracts and contract changes, including catering, audio/visual, security, transportation, entertainment, floral, equipment, and other vendors

  • Prepare catering BEOs and other instructional documents for vendors

  • Manage contract deadlines and obligations

  • Submit event project requests to the communications department and work collaboratively with the department to develop event and meeting timelines

  • Coordinate delivery of sponsor registration benefits

  • Manage event registration, name tag preparation, and table seating assignments

  • Work with content providers to ensure emcees, speakers, and facilitators are prepared for the event in a timely manner

  • Confirm emcees, speakers, facilitators and vendors, and set up, coordinate, and break down meetings and events

  • Coordinate post-event activities including payment of outstanding invoices, thank you notes to sponsors and speakers, and event and speaker evaluation procedures

  • Track meeting and event income and expenses in Excel to meet or exceed budget goals for assigned programs and provide post-event income and expense projections to content providers and accounting

  • Perform other duties as assigned


Education Requirements:


  • Bachelor's degree is required

  • Must posses an outstanding service attitude and work ethic and have the ability to work in a fast-paced and time-sensitive environment


Qualifications:


  • 1-3 years of experience managing event logistics and production in a high-volume environment

  • Prior experience with relational or customer databases, project management software and event-specific programs is preferred

  • Experience with Microsoft Office product suite required
