Job Description:

Our client, Raleigh Chamber of Commerce, is looking for an Event's Coordinator to join their team! Assist Senior Manager, Events with the management of logistics for meetings and events, working in cooperation with content providers, communications, sales and marketing, IT and accounting staff members along with volunteer committees to produce positive, memorable experiences for organization members and event guests. This is a full time, direct hire position based in Raleigh, NC.


  • Source locations and properties for meetings and events, ensuring that the event calendar is balanced for audience participation and resource allocation

  • Request, negotiate on behalf of and review vendor contracts and contract changes, including catering, audio/visual, security, transportation, entertainment, floral, equipment, and other vendors

  • Manage contract deadlines and obligations

  • Submit event project requests to communications department and work collaboratively with this department to develop event & meeting timelines

  • Coordinate delivery of sponsor registration benefits

  • Supervise event registration, name tag preparation, and table seating assignments for assigned events

  • Work with content providers to ensure emcees, speakers, and facilitators are prepared for the event in a timely manner and that their A/V and other requirements are communicated to the appropriate staff or vendors

  • Confirm emcees, speakers, facilitators & vendors, and set up, coordinate, and break down meetings and events

  • Coordinate post-event activities including payment of outstanding invoices, thank you notes to sponsors and speakers, and event and speaker evaluation procedures

  • Track meeting and event income and expenses in Excel to meet or exceed budget goals for assigned programs and provide post-event income and expense projections to content providers and accounting

  • Perform other duties as assigned

Education Requirements:

  • Bachelor's degree

Desired Background/Skills:


    • Minimum 1 year of experience planning events

    • Intermediate proficiency in Microsoft Word, Excel, Outlook, and PowerPoint

    • Excellent written and verbal communication skills
