Administrative Assistant


Job Description:

Our client, located in Raleigh, NC, is seeking an Administrative Assistant to add to their team! This individual will assist in daily office tasks, customer service, invoicing and other duties as assigned. This is a full time, contract to hire opportunity with a service oriented company.


Responsibilities:


  • General office assistance involving management, technicians, other staff, vendors, and customers.

  • Speak to customers directly for work order scheduling, job estimates and quotes, follow-up and schedule.

  • Answer phone calls, maintain supplies, create streamlined purchasing accounts for supplies, create tracking spreadsheets etc.

  • Communicate with vendors and customers as requested in the shop and via email or phone.

  • Accounts Payable functions including placing and processing purchase orders with vendors.

  • Inventory management, receiving, purchase order tracking and payment of invoices, etc.

  • General filing/bill maintenance.

  • Accurate dispatching of technicians.

  • Inputting data and jobs into computer/database.

  • Verify the accuracy of invoices and other accounting documents or records.

  • Update and maintain accounting journals, ledgers and other records detailing financial business transactions.

  • Follow-up with customers for timely payment of receivables.

  • Use computer system with QuickBooks Enterprise, FieldEdge Field Service Management, and other client specific software.

  • Ensure all bills are being paid on time and accurately - reconcile any discrepancies, set up auto pay, ensure bill payments working properly, etc.

  • Collect checks/cash both from techs and from US Mail and prepare for management deposit.


Education Requirements:


  • Bachelor's degree or equivalent.

    • Ability to work with technicians, other staff, customers, and vendors effectively and efficiently.

    • Knowledge of QuickBooks Enterprise and FieldEdge Field Service Management software experience is a plus.
