Administrative Assistant

Job Description:

Our client, an engineering firm in Wilmington, is seeking an experienced Administrative Assistant to join their team. The Administrative Assistant will be responsible for reception duties and administrative tasks, and must be proficient in Microsoft Office and familiar with operating standard office equipment. This is a full-time position, Mon- Fri, 8am-5pm, offering $18-$20hr DOE and exceptional benefits.


  • Answer phones, take messages, or route callers to voicemail

  • Retrieve, date stamp, and distribute incoming mail

  • Prepare outgoing mail and UPS, including envelopes and labels, and make file copies; take to post office

  • File project documents (date order) and read file copies

  • Make copies as needed for files or as requested by engineers/planners

  • Assemble and bind reports

  • Order and stock supplies in copier room and snacks in kitchens

  • Perform or order copier and printer maintenance

  • Keep addresses, faxes, titles and phone numbers current in Rolodex

  • Prepare correspondence and reports from dictation, edit documents based on engineer or planner markups

  • Retrieve documents from files as requested by engineers or planners

  • Fax documents as requested by engineers

  • Create forms (Excel, Word) as requested by engineers

  • Run errands-drop off and pick up plans/specs, lunch orders or reports copies as needed

  • Coordinate car rental, hotel and plane reservations as requested by staff for company travel

  • Maintain monthly staff calendar

  • Create and post staff birthday signs, staff announcements, and business holiday signs

  • Plan and coordinate staff events

Education Requirements:

  • High school diploma

  • Two-year degree highly preferred

Desired Background/Skills:

  • Minimum of three years of experience in a similar position


  • Proficiency with Microsoft Office, especially Excel

  • Ability to work as part of a team and receive direction

  • Professionalism

  • Ability to multi-task and prioritize

  • Strong time management and organizational skills

  • Excellent communication skills

Other Information:

  • Administrative assistant must pass pre-employment drug screening and background check
