Job Description:

Our client, a global nonprofit research organization in RTP, is seeking an experienced Administrative Assistant to support the Center for Newborn Screening and Development staff as well as the Education & Workforce Development Unit within the office through clerical, administrative, and general office duties. This position is a three month contract to hire opportunity located in Research Triangle Park, NC.


Responsibilities:


  • Perform clerical, administrative, and general office duties in support of center, department, or building functioning

  • For the Center for Newborn Screening and Development (NED). Approximately 60% of job:

  • Create travel arrangements for senior staff

  • Support and execute expense reports for senior staff

  • Manage center-level meeting planning, support, and materials

  • Attend meetings to record and produce minutes

  • Administratively support NED with tasks such as shipping, binding, outside document/printing orders, maintenance requests, on-boarding guidance, doodle polls, processing of invoices, etc.

  • Organize and maintain NED shared files on network drives or other applicable sites such as SharePoint, TEAMS, Confluence, etc.

  • Operate reserve video and audio conferencing equipment

  • Demonstrate advanced computer application skills and train others on system usage

  • Maintain positive and collaborative communications with NED team to obtain, verify, record, and provide information, and resolve problems

  • For the RTP based EWD Unit, as part of the Synergy Project Support (SPS) Team. Approximately 40% of job:

  • Act as a liaison for staff, routinely working with the offices of facilities, IT, security, and other offices as required

  • Maintain and organize copy/printer/supply rooms across 2 floors and manage supplies and maintenance for printers/copiers that are placed throughout the 2 floors for the unit

  • Maintain unit-level supplies in designated RTP areas through inventory, organization across 2 floors, and monthly ordering through RTP supported systems

  • Support interviewing activities such as meeting and greeting candidates, conducting brief tours, escorting candidates to and from necessary locations, providing facility details to support a positive experience for candidates

  • Perform clerical, administrative, and general office duties that may include word processing, data entry, record and file maintenance, photocopying and scanning, scheduling meetings, making travel arrangements, requisitioning supplies, submitting work requests, mail distribution, and reception

  • Assist in proper compliance and implementation of corporate and unit procedures

  • May provide input to assist management with unit infrastructure planning

  • Maintain positive and collaborative communications with SPS team to obtain, verify, record, and provide information, and resolve problems


Education Requirements:


  • High school diploma or equivalent and 10 years' experience in similar or same type of position
