Administrative Assistant I


Job Description:

Our client, a global nonprofit research organization, is seeking an entry level Administrative Assistant to join their team. This position will report to the Sr. Administrative Assistant to the VP of Project and Procurement Services (P3). The Administrative Assistant will be tasked with lending administrative support throughout the organization. This position is a 6-12 month contract role with possibility of extension located in Research Triangle Park, NC.


Responsibilities:


  • Perform clerical, administrative, and general office duties that includes using basic computer skills (specifically Microsoft Office 2010 applications including Outlook).

  • Manage electronic records and files.

  • Schedule and organize meetings and training sessions, including logistics, catering, preparing materials and note taking.

  • Reserve and operate video and audio conferencing equipment.

  • Order supplies through e-procurement and deliver to staff.

  • Schedule travel arrangements.

  • Prepare and submit expense reports through the Concur system.

  • Operate and maintain office equipment.


Education Requirements:


  • High School diploma required; Bachelors degree preferred

  • Minimum 2 years' experience in a diverse office environment preferred

    Qualifications:


    • Demonstrated proficiency with MS Word, Outlook

    • Working knowledge of PowerPoint, Excel

    • Ability to learn new system applications specific to job requirements

    • Demonstrated experience setting up conference calls using video and audio-conferencing equipment

    • Ability to multi-task and prioritize workload

    • Ability to tactfully communicate with various levels of the organization to request or provide information.

    • Demonstrated written and verbal communication skills

    • Ability to work independently

    • Attention to detail and accuracy
