Operations Analyst


Job Description:

Our client, one of the nations leading benefits brokerage firms, is looking for a new operations analyst! Under the general direction of the Director of Client Experience, this position will provide escalated support for affiliate firms and Director of Client Experience and take ownership of projects and act as a subject matter expert. The Client Experience Manager (Wealth Management Operations Analyst) will be responsible for using available resources appropriately to ensure all aspects of service and support to affiliates and their clients are fulfilled accurately and timely while maintaining Resources Investment Advisors and Broker/Dealer compliance standards.


Responsibilities:


  • Address escalated issues, independently researching and/or contacting custodians and vendors, as appropriate

  • Train affiliate offices and team members on platforms utilized, services provided, and proper procedures

  • Assist Transition Team to coordinate and support new firm and advisor onboarding, as needed

  • Assist internal teams and affiliates with operational needs and inquiries; use available resources to ensure all aspects of service are completed accurately and timely, as needed

  • Generate, print, and mail quarterly statements for affiliate firms accurately and within SLA timeframe

  • Create and update documents, spreadsheets, and presentations

  • Assist with answering phone calls

  • Print and prepare mass mailings

  • Provide other general administrative and clerical duties including faxing, filing, document scanning, and booking travel arrangements

  • Assist Director of Client Experience with daily, weekly, and monthly audits

  • Foster solid relationships with all internal teams within the Resources organization to provide a maximum value to affiliate offices

  • Act as back-up to Director of Client Experience to lead regular team meetings with custodians and vendors

  • Act as a resource regarding best practices, policies, and procedures as it relates to Resources and its affiliates

  • Act as a subject matter expert for all Wealth Management Operations systems and procedures

  • Work in conjunction with team members to evaluate, develop, and implement reporting solutions, procedural changes, or other projects as needed

  • Provide technical support for Wealth Management specific systems

  • Communicate with custodians, software providers, and affiliate firms ? including principals, advisors, and staff

  • Create, update, and maintain reporting templates in Orion

  • Update and maintain Client Portal design

  • Research new integrations and opportunities for new client offerings

  • Develop, maintain, and audit procedures relating to the systems and processes used by the Resources team and affiliates

  • Work in conjunction with team members to evaluate, develop, and implement reporting solutions, procedural changes or other projects, as needed

  • Lead projects that may require long term goals and check-points

  • Be knowledgeable in the duties of and able to back-up other team members, as needed

  • Collaborate with Director of Client Experience by constructively contributing to evaluation and training of internal staff and affiliate offices

  • Adhere to compliance standards and Code of Conduct of Resources Investment Advisors and Broker/Dealer as described in compliance and operations manuals


Education Requirements:


  • Bachelors Degree in Business Administration, Accounting, Finance, Economics, or related concentration required

  • Types accurately; ability to type for extended periods

  • Writes, speaks, and presents clearly and succinctly across a variety of communication settings and adjusts communication style to audience

  • Excellent customer service skills

  • Excellent interpersonal communication skills, including heavy telephone and email communication

  • Good organizational and time management skills; ability to prioritize multiple tasks

  • General office equipment

  • Computer skills in Microsoft Suite, Orion, SalesForce, and Smartsheet

  • Judgment and problem-solving skills-based application of advanced or technical concepts are predominantly required

  • Demonstrate initiative to address issues outside standards

  • Ability to handle increasingly high volume of work in a fast paced, deadline driven environment in a calm manner

  • Ability to work independently and make decisions while considering client requirements and focusing on efficiency and cost effectiveness

  • Generally works independently


Qualifications:


  • 5-7 years business experience required, preferably in management of processes in investment industry

  • Experience with Schwab, Fidelity, and/or Td Ameritrade platforms a plus

  • Experience with Orion Advisor Technology or similar platform (Tamarac, Black Diamond, etc.) a plus

  • Full knowledge and understanding of investment terms and account types
