Administrative Assistant


Job Description:

We are seeking a competent, highly organized, adaptable and friendly Administrative Assistant to join our team.


Responsibilities:


  • Maintain several calendars.

  • Prepare communications such as emails, reports and other correspondence.

  • Input and update information in databases and spreadsheets.

  • Work with sensitive information with discretion to maintain strict confidentiality.

  • Schedule and coordinate committee meetings with Executive Director and Committee Chairs.

  • Distribute meeting notices for committee and board meetings.

  • Email notification of Authority meetings to members, the media and other partners.

  • Prepare meeting materials, agendas and PowerPoint presentations for meetings.

  • Manage meeting minute preparation and distribution.

  • Become proficient in the AV systems used for all meetings.

  • Distribute tickets and parking passes to staff and board members.

  • Create Event Notices for distribution to Board Members & Staff; purchase event tickets for board members upon request.

  • Maintain Centennial Authority contact database for distribution to members/staff.

  • Assist with travel planning, air, accommodations and transportation.

  • Ensure deadlines are met and adapt to changing priorities.

  • Continuous document management tasks; scanning, copying, filing and maintaining electronic records.

  • Support staff members as needed.

  • Assume additional responsibilities such as maintaining permanent records, processing invoices for payment and ordering catering for office functions as needed.


Education Requirements:


  • Degree in Public Administration preferred but not required.


Desired Background/Skills:


  • Proven record of administrative support.

  • Must be a self-starter with high attention to detail and problem-solving skills.

  • Represent the Centennial Authority in a courteous and professional manner with board members, arena staff, community leaders, partners and the public.

  • Ability to prioritize work while managing a variety of tasks simultaneously.

  • Must have a high degree of integrity and character.

  • Demonstrated ability to handle confidential information.

  • Demonstrated expertise of Microsoft Office Word, Outlook, PowerPoint and Excel.

  • Excellent written and verbal communication skills

  • Must have great interpersonal skills

  • Excellent proofreading ability.


Qualifications:


  • Five years of administrative experience preferred.

  • Experience in Local Government, Municipal, State or County a plus.


Other Information:


  • Monday - Friday, 9 a.m. to 5:30 p.m.
