Director of First Impressions
Job Description:
Oversee operations in front office; scheduling appointments, greets clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office. The same courtesy is expected by phone or email. Communicate with the client base including phone calls, emails, meetings, mailings (including client) summaries.
Responsibilities:
Responsible for Preparing the G-File for new Clients on Initial Appointments.
Coordinating onboarding and working with the Paraplanner and advisor to facilitate required items.
Coordinates the assembly and mailing of client paperwork.
Kookies (making and baking)
Handles calendars for the Wealth Advisor(s).
401(k) Deposits and other check deposits.
Prepares and sends greeting cards - must be signed by servicing advisor.
Sorts and distributes the mail. (Mail is delivered in the afternoon)
Develops and maintains written documentation of all client activities.
Responsible for all follow-up activities.
Whiteboard champion: make sure board is up to date and all action items are completed.
Handles filing, scanning, project printing, and client gifts.
Keeps file room organized.
Scan Client Statements to the appropriate folders on the L: Drive when received.
Confirm all account paperwork is scanned and placed in client folder.
Assist in completing paperwork as needed.
Assist in developing client review materials as needed.
Interact with the operations team on all planning and follow up.
Coordinates outside vendors.
Develops, mails, and analyzes client satisfaction surveys.
Performs other duties as assigned.
Orders and handles office supplies and coordinates outside vendors.
Writes 6 Most Important and prioritizes them each day before leaving office.
Education Requirements:
Bachelor's degree or higher strongly preferred.

Proficiency in Microsoft Office 365.
