Executive Administrative Assistant

Job Description:

The Executive Administrative Assistant serves as a trusted partner, across all areas of responsibility, supporting the Senior Manager of Operations (SMO), Executive Vice President (EVP) of Operations and the Vice President of Client Success (VPCS). The Executive Administrative Assistant will help the Operations Team be more productive and effective by maintaining responsibility for administrative tasks, key assignments, general project management and practicing critical thinking. They will work closely with leaders and business areas across the company.


  • Preparation with stakeholders and materials management; includes PowerPoint creation, working with key business areas and leaders to build agenda and materials and organizing and sharing deliverables

  • Meeting record keeping: Participate and support in keeping meetings on time and on topic, taking detailed notes and identifying actions; creating summarized meeting highlights and decisions for disseminating to participants, following up on action items and ensuring completion

  • Regularly auditing participant lists, Teams channel members, email recipients, etc.

  • Calendar management for the EVP of Operations, VPCS and SMO

  • Travel planning and coordination for the full Operations team

  • Event, restaurant and logistics research, planning, management and/or support alongside the Corporate Event Planner

  • Completion of expense reports as requested

  • Auditing, analyzing and cleaning up data in Excel reports

  • Creating data summary and tracking reports as needed

  • Creating financial summary reports

  • Learning and using D365 Advanced Find function to produce requested reports

  • Testing and interpreting Power BI reports and translating/summarizing findings

  • Working with Finance and Data teams to navigate discrepancies

  • Maintain responsibility for key assignments as requested or assigned

  • Ensure successful completion of projects and initiatives within specified timeframes; track progress and metrics

  • Proofreading and editing

  • Identify and resolve inefficiencies; supports change management

  • Self-manage time, prioritize projects and work efficiently

Education Requirements:

  • An earned bachelor's degree (or its equivalent)

Desired Background/Skills:

  • Enjoys learning and engaging in multiple facets of the company and being a resource for others

  • Strong ability to learn new systems and tools

  • Must be self-motivated, disciplined, highly organized and have excellent prioritization and project management skills

  • Possesses strong research, analytical and problem-solving skills

  • Exceptional, trustworthy and reliable communication and attentive listening skills; able to interact effectively with people of various responsibilities and authority (employees, key contacts, executives, etc.)

  • Utmost attention to detail and the translation of it as needed

  • Ability to thrive in a dynamic climate with shifting daily priorities, while meeting or exceeding deadlines and maintaining professionalism, confidentiality and decorum

  • Comfortable working with others in virtual and in-person environments


  • Proficient with Zoom and Microsoft Office applications including Teams, Excel, PowerPoint, OneNote, OneDrive, Word and Outlook (intermediate level or higher for all is a must); Familiarity with Microsoft Dynamics 365 is a plus

  • Two or more years of experience in administration, operations and/or project management

  • Two or more years of experience in employee health and welfare or retirement benefits industry preferred

Other Information:

  • The preferred location of this role would be split time between your remote office and our client's corporate headquarters in Atlanta, GA.
