Job Description:

We are seeking a dynamic and proactive Office Assistant to join our team. The ideal candidate will be a problem solver, quick learner and people-oriented individual with excellent data entry and customer service skills. This entry-level position is perfect for a recent college graduate with a strong desire to establish a rewarding career in a dynamic work environment.


Responsibilities:


  • Manage incoming calls and direct them to the appropriate person or department with professionalism and courtesy.

  • Accurately input and update information into databases, spreadsheets and other systems.

  • Maintain organized and efficient records.

  • Identify challenges and proactively find solutions to ensure smooth office operations.

  • Collaborate with team members to address issues and improve processes.

  • Provide exceptional customer service to clients, visitors and team members.

  • Address inquiries and resolve issues in a professional and timely manner.

  • Assist with general office tasks, including filing, photocopying and organizing documents.

  • Manage office supplies and place orders when necessary.

  • Communicate effectively with team members and external contacts.

  • Foster a positive and welcoming atmosphere for all individuals entering the office.

  • Collaborate with colleagues to create a supportive work environment.


Education Requirements:



    Desired Background/Skills:


    • Experience in team collaboration to achieve common goals.

    • Basic financial acumen related to invoicing and budgeting.

    • Familiarity with inventory management processes.

    • Strong problem-solving abilities with a proactive mindset.

    • Excellent data entry and organizational skills.

    • Attention to detail with the ability to minimize errors.

    • Strong time management skills and the ability to prioritize tasks effectively.

    • Adaptability and willingness to learn new processes in a dynamic workplace.

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).


    Qualifications:


    • Customer service experience or a strong desire to excel in customer-focused roles.

    • Experience with sales tax requirements and QuickBooks is preferred.

    • Familiarity with systems such as SAP, QAD, AS400, or Sage is preferred.
