Issuer Solutions Operations Associate
Job Description:
The Issuer Solutions Operations Team is responsible for working directly with both our Strategic Partners and Issuers to project manage various aspects of Annual Meetings and Proxy Events for Issuers. Primary functions of the team include back office job set-up, proxy voting site set-up, coordinating the distribution of physical Proxy material and communicating final tabulation results for the proxy event. The role of the Operations Associate is to lead the set-up effort for new proxy events including setting up events on internal applications, coordinating website and telephone setup for electronic voting, and provide additional support to the Operations Specialists.
Responsibilities:
Set up annual meetings / proxy events on company applications.
Coordinating setup of company voting websites and telephone voting systems with internal web design teams.
Track event milestones to ensure all required steps are completed within challenging deadlines.
Quality Control / Review of proxy cards and ballots prior to shareholder distribution.
Generate and communicate vote tabulation reports to all interested parties.
Invoice generation and tracking.
Other duties as assigned.
Education Requirements:
High school diploma or GED.
Desired Background/Skills:
Knowledge in Microsoft Suite and effectively use email and phone.
Strong verbal and written communications skills.
Excellent research skills.
Able to multitask and work on multiple projects.
Ability to work overtime and flexible work hours.
Able to work in a high-pressure environment and meet numerous deadlines.
Must be able to organize, prioritize and complete tasks within established time constraints.
Qualifications:
Experience marketing in a B2B environment.
Able to build relationship with management and work with internal/external clients.

Expressing or exchanging ideas by means of the spoken word to impart oral information to clients or to the public and to convey detailed spoken Instructions to other workers accurately, loudly, or quickly.
Handle heavy operational, data, attention to details, excel is helpful (data entry and using templates).
