Job Description:
Our client is a nonprofit is a statewide trade organization that has been in existence for over 50 years. This is a small office environment (<10 employees) and the average tenure of employees is 20 years. They seek an Office Administrator with at least 5 years of experience of in full charge double entry bookkeeping (preferably using QuickBooks). This individual is responsible for A/P, A/R, balancing books, general office administration, coordinating a few annual conferences and assisting with financial filings for their Political Action Committee (PAC). Full time, direct hire opportunity, fully onsite, Monday thru Friday in Raleigh, NC 27616. Offering competitive salary and excellent benefits!
Responsibilities:
Responsible for all bookkeeping and accounting functions, including accounts payable, accounts receivable, payroll, general ledger, and monthly financial statements. This includes reviewing and recording investment statements, making bank deposits for monies received and recording all income into the proper accounts, payment of all expenses incurred by the Association, preparation and mailing of 1099s, reconciliation of all bank accounts, preparing and entering all manual and adjusting journal entries for month end and year end closings and preparation of monthly financial statements (Income Statement and Balance Sheet).
Researching all accounting questions that arise and working with CPA on yearly and interim audit/review of books and filing of 990, 990T & CD405.
This position will process payables & record all cash receipts (MaHPAC & NCMHA), prepare monthly financial statements, annual budget, provide information for annual review. Prepare & file PAC, SMET & retirement reports.
Responsibilities include the daily tasks associated with keeping an office running smoothly. It involves overseeing office purchases & disposals, including documents, phones, computer systems, supplies, furniture, etc. It also includes overseeing all equipment maintenance, warranties, repairs, and scheduled maintenance.
Involves implementing and maintaining a variety of programs and procedures including health insurance, time sheets, reporting payroll, monitoring retirement/distributing and filing documents, updating policies & procedures & the employee handbook.
This position is responsible for several large & small offsite meetings which include hotel and catering negotiations, scheduling with hotels, and reception sites for overnight accommodations, meals, and receptions.
This position handles all financial problems regarding the Association, prepares annual budget worksheets, keys all budget figures into the computer system, and monitors budget on a monthly basis. Reports to the bank all monthly transfer amounts to retirement account.
Record all contributions received, make bank deposits, issue all checks, reconcile bank account, and file all reports with government officials for PAC.
Backup to office personnel in cases of work overload, emergencies, or sick leave.
Other duties as assigned by the Executive Director.
Education Requirements:
BS or AS degree in accounting is desired and five (5) years minimum experience in full charge double entry bookkeeping. Preferred experience with QuickBooks.
Desired Background/Skills:
Extensive computer knowledge and experience, including Windows and Microsoft Office, Quick Books, Excel & PowerPoint, and Adobe products.
Must be a self starter and able to function in a team environment.
Excellent verbal, written, and organizational skills.
Ability to work with diverse groups of people.
Must have a valid drivers license.
Must be able to travel, including overnight. Travel is limited to < 3% and mainly for training, conferences, and Board meetings.
