Job Description:
The Administrative Assistant is responsible for efficient and effective administrative and clerical support to ensure the smooth operation of the organization. This role involves a wide range of tasks, including managing office supplies, coordinating meetings, handling correspondence, and assisting with various administrative functions. This role will be onsite Monday - Friday out of a manufacturing facility in Oxford, NC. We are looking for someone interested in long term growth.
Responsibilities:
Office Management
Maintain and organize office files, documents, and records.
Order and manage office supplies, equipment, and materials.
Ensure the office environment is clean, organized, and well-maintained.
Communication
Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
Greet and assist visitors, clients, and employees in a courteous and professional manner.
Draft and proofread documents, reports, and presentations.
Scheduling
Coordinate and schedule meetings, appointments, and conference calls.
Manage calendars for executives or team members.
Arrange travel, accommodation, and itineraries as needed.
Data Entry and Record Keeping
Enter data into spreadsheets, databases, and other digital tools.
Maintain and update records, including employee records, inventory, and project files.
Assistance to Managers and Teams
Provide administrative support to managers and departments as required.
Assist in preparing reports, presentations, and documents for meetings and projects.
Event Planning
Assist in planning and organizing company events, workshops, and conferences.
Technology Proficiency
Proficiently use office software and equipment, such as word processing, spreadsheet, and presentation software.
Handle basic IT-related issues or escalate them to the appropriate department.
Confidentiality
Maintain strict confidentiality of sensitive information and documents.
Education Requirements:
High school diploma or equivalent
Desired Background/Skills:
Experience using a desk top computer.
Experience in answering office phone calls, answering questions about the company.
Proven experience as an administrative assistant or in a related role.
Proficiency in office software (e.g., Microsoft Office Suite).
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Qualifications:
Attention to detail and problem-solving skills.
Ability to multitask and work well under pressure.
Knowledge of office equipment and basic IT troubleshooting is a plus
