Mail Production Specialist


Job Description:

Supports production workload in Support Services Division. This workload originates in the Print Center & Outgoing Mail Services, Incoming Mail Services Department and Distribution Services Department. An employee's department assignment will determine their primary duties and those areas that he/she will be cross-trained. Those areas in which an employee is cross-trained will be performed on an as-needed basis. The duties and responsibilities listed below are those required to accomplish the Core Tasks performed in the Departments listed. A Production Specialist will perform one or more Core Tasks within their assigned department and a combination of tasks in the other production departments.


Responsibilities:


  • Distribution Services--

  • Pulls, packs, and checks orders for materials and supplies. Selects most cost-effective carrier for the class of service specified. Prepares manifest and shipping labels.

  • Restocks products to assigned bin locations with product as existing inventories are depleted. Assembles kitted materials, as needed, to replenish inventory and/or fulfill orders. Responsible for receiving materials and supplies.

  • Performs office services and takes physical inventory, as scheduled or assigned.

  • Follows established quality control procedures during order picking, packing and receiving to ensure accuracy of work as it is performed.

  • Inspects bin locations daily and restocks shelves as depleted.

  • Responsible for ensuring that all rulebooks having inserts are inserted prior to being placed in their pick and pack location and that these bin locations are adequately stocked.

  • Outgoing Mail Services.

  • Identifies, sorts, and weighs various classes of outgoing mail. Sets appropriate postage on the meter and run mail through mail machine. Maintains postage expenditure record. Packages, weighs, costs, and writes manifests for parcels to be shipped via overnight and express parcel services.

  • Picks up and delivers mail in accordance with the established schedule. Logs in all incoming packages from couriers and deliver at each mail run.

  • Assists with and performs shipping functions during peak production periods

  • Print Center and Production Inserting Services Department:

  • Print Production

  • Produces and distributes a variety of printed materials and reports in accordance with established production schedules. Operates large floor and tabletop folders.

  • Apprises management of problems related to the digital printers, folders, and print production equipment.

  • Operates and maintains digital printers, computer terminal, and folders.

  • Monitors print quality by performing quality control inspections of printed materials produced on the digital printers.

  • Exercises control over production inventory of raw materials and finished products. Material usage of paper and supplies used in print production is accurately accounted for, by job, and reported to inventory control on a daily basis. Accounts for all waste and immediately informs management of defective products.

  • Schedules and performs equipment maintenance including preventive maintenance.

  • Production Inserting

  • Operates and maintains insert and printing equipment. Prepares Dog Registration and other production insert jobs on a daily basis utilizing insert machine. Maintains daily production and cost reports along with daily inserter usage and scrap percentage, if applicable..

  • Incoming Mail Services Department:

  • Mail Processing

  • Operates Mail opening equipment, including Opex mail cutter and Omation letter opener.

  • Performs the Executive Sort.

  • Logs and opens certified mail.

  • Prepares work to be scanned including assembling work into batches. Pulls scanned work for disposal.

  • Scans all prepared work on IBML scanner. Assemble and label batches for filing and fee instruments for Cashiers.

  • Researches and corrects scanning errors through Reg Console.

  • Operates microfilm retrieval equipment for internal microfilm requests.

  • Cashiers

  • Performs blind double key of checks in Batch Approval and processes DOUGH checks.

  • Encodes and endorses all checks and money orders on encoder and locates errors.

  • Prepares daily bank deposit and all reports associated with deposit, locates deposit errors.

  • Performs training and quality check of mail prepped for scanning, reports errors to operators and management. Verifies the completion of identified tasks (Daily work verification list).

  • Performs corrections to scanned images in Batch Fix and researches additional documents in the Registration Console.

  • Creates letters to external customers for returning documents or invalid fee instruments.

  • Qualifications/Required Background: To perform this job satisfactorily, an individual must be able to perform each essential duty satisfactorily. The requirements listed below represent the qualifications necessary to carry out the essential duties of this position.
