Internship Program Administrator

Job Description:

Our client, a global nonprofit research organization, has an opening for a remote Internship Program Administrator. The Internship Program Administrator will support internship program operations as a member of University Collaboration Office (UCO). The UCO develops and manages partnerships with leading academic institutions and promotes awareness of organization services and capabilities on university campuses. Main duties for the position include talent acquisition operations, intern-related internal and external communications, and data management.


  • Support program information and operations; gain keen knowledge of the internship program, and provide guidance and solutions to internal and external audiences via email, telephone, and video conference

  • Review internship requests and key each into the talent acquisition management system

  • Screen internship applications and route qualified candidates to hiring managers

  • Acquire efficient comprehension of OFCCP Compliance

  • Engage and understand the needs of hiring managers

  • Work collaboratively with partner teams, including but not limited to, Talent Acquisition, Recruiting Firm, Technology Solutions, and Human Resources Services

  • Confirm offer details with hiring manager, prior to extending offers to selected candidates via teleconference

  • Draft onboarding documentation (i.e. offer letters and agreements)

  • Schedule information sessions and orientations

  • Support presentations during information sessions and orientations

  • Email onboarding logistic communications to new interns

  • Comprehend Human Resources and Technology Solutions service request operations

  • Administer internal and external surveys

  • Co-manage a high volume of internship program email inquiries

  • In collaboration with the Senior Internship Program and Communications Specialist and Senior Administrative Assistant maintain accurate intern records, including onboarding status, headcount data, and documentation

  • Ensure that documentation of policies and procedures and related staff resources are updated

  • Participate and contribute to team meetings

  • Other duties assigned by the Senior Internship Program and Communications Specialist

Education Requirements:

  • Associate degree and 2-3 years of related experience; or Bachelor's degree and 1-2 years of related experience.

  • Experience in talent acquisition, program administration, and/or project coordination

  • Ability to work collaboratively with an ecosystem of designated staff members and teams

  • Strong sense of empathy, inclusivity and interest in helping students and staff from a wide variety of backgrounds and global locations

  • Prowess to provide administration solutions through the utilization of multiple systems, digital tools, data sets, and records

  • Problem-solving skills, and ability to apply innovative and creative thinking to achieve goals

  • Possess emotional intelligence, humility, and adaptability to work successfully in small and large team environments

  • Positive attitude and willingness to learn that sustains an optimal working environment for oneself and others

  • Ability to maintain the highest level of confidentiality and engender trust

  • Experience using pivot tables and advanced Excel skills preferred

  • Familiarity with a university and/or talent management organization preferred


  • Strong attention to detail and organizational skills

  • Ability to communicate effectively in verbal and written correspondence, including virtual meetings and e-mail communication

  • Ability to independently prioritize responsibilities, think critically, and adapt to changes in priorities, workload, and workflow

  • Skilled in establishing strong relationships with internal and external stakeholders

  • Proficiency using Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)

  • Experience using an online applicant tracking tool and/or advanced data entry interface
