Job Description:

Our client, one of Raleigh's leading digital marketing firms, seeks an Executive Assistant to add to their team. The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO.


Responsibilities:


  • Proactively manage scheduling requests via phone and email; send calendar invitations

  • Ensure CEO is on time and prepared for all meetings, is aware of the meeting's agenda, attendees and has necessary materials

  • Directly engage with any external leaders &/or their EAs on all logistics related to meetings, trips, or invites; on occasion, attend meetings to take notes

  • Always obtain CEO's notes and ensure they are filed appropriately

  • Screen phone and email communications on behalf of CEO (including drafting responses on CEO's behalf)

  • Support CEO with project management and time allocation; keep track of all designated action items and report out to CEO on progress

  • Prepare a weekly report on where CEO spent time

  • Closely track public statements of 6-10 "VIP comparable companies" and prepare weekly briefings on industry news

  • Track group of 30+ adjacent companies in the media and customer acquisition space

  • Ensure materials are set up and organized for "market research" reading to support CEO's Focus Days

  • Greet guests, provide office tours and ensure meeting rooms are set up

  • Arrange for food delivery or catering at the office or offsite meetings

  • Ensure CEO has all necessary office supplies and technology requirements

  • Book hotels, flights, and, when necessary, car services

  • Join large meetings when CEO is the host, such as offsites, and ensure things run seamlessly

  • Proactively communicate with CEO on upcoming special occasions for his direct reports, board members, and key advisors on birthdays or holidays

  • Selectively support other senior executives on external scheduling and engagements


Education Requirements:


  • Bachelor's Degree required


Desired Background/Skills:



    Qualifications:


    • At least 2-5 years of professional experience providing high-level support to a senior executive at a fast-paced organization

    • Excellent communication and organizational skills required.
